BIMA Award Entry Guide
We have recently launched our new website and integrated into this site is our awards entry system.
This page is a guide on how to complete an award entry and submit it into the BIMA Awards 2010. Use the navigation to the left to jump to a particular point in the Guide on which you require more details.
All entries must be made online, whether or not they are viewable online. Those items which are DVDs, CDs etc should indicate in the note how the entry is being presented and list of the items being sent to the BIMA office at the address below. If you are entering a project into more than one category, you must supply a set of materials for each category.
Login
To make your submission to the BIMA Awards you must login into the site:
- If you are a BIMA member you should use your membership login, this will entitle you to take advantage of all the benefits your membership offers. If you have forgotten your login details you can request a reminder through the website or contact the BIMA office on awards@bima.co.uk
- If you are not a BIMA member you can create a new non-BIMA member login, which requires a username and password. At any point you can come back to the site with these details and reload your un-submitted entries.
- If you have previously set up an award login on our site you can login with your specific login details. This will reload any previously un-submitted entries giving you the ability to come back at any point and edit your entries before they are submitted. If you have forgotten your login details, contact the BIMA office on awards@bima.co.uk who will supply the details.
Entry Page
The entry page is where you will be redirected once you have logged into our awards system using the one of the login methods detailed in the Login Section above

Submitting an entry to the Awards is as simple as filling out a form and clicking a button!
The details that you will need to prepare for your entry are listed below:
- Project Name
- Link
- Produced By
- Produced For
- Location
- Release Date
- Description
- Recommended Route (including any login details our judges may need)
- Any Notes (including details of any forthcoming media that you have sent to us)
Once you have these details ready and you have reviewed your written submission and included all information you believe the judges will need - you are ready to enter our awards!

The main award entry page has at the top a listing table which will show all un-submitted entries that you have created and the price it will cost to enter these project(s) to the awards.
This listing also has buttons on each entry row allowing you to edit, copy or delete the entries that you have created. Copying entries gives you the ability to enter a project into more than one category with the benefit of a cheaper price - more details can be seen in the Duplicate Entries Section of the guide.

The new awards system allows you to copy an entry and enter it into another category of your choice, taking advantage of the cheaper rate that we charge for this type of entry.
To duplicate an entry you simply click the copy button shown in the entry listing - This is explained in the Entry Listing Section above.
Once an entry has been copied a new entry is created. This entry will initially exist within the same award category
as the original, you will need to click the edit button
on the duplicate entry row and change
it to the category into which you would like the duplicate entry to be entered.
Shipping & Billing Details
Once you are happy with your entry(ies) you are ready to submit them. Do this by clicking on the 'Proceed to step 2' button that appears below the entry listing table.
The billing details page collects required shipping / billing address details in order for you to complete the payment of your order and validating your entry(ies) into the BIMAs 2010.

At this stage you can still go back and edit any of the details that you have entered and also your shipping / billing address. Once you are happy with the details you have supplied, clicking on the 'Proceed to Payment' button will confirm your entry. Once past this point you will not be able to edit any details of your entry. If you have clicked the "Proceed to Payment" button in error, please contact the BIMA office on awards@bima.co.uk who will be pleased to advise.

To validate your entry(ries) you will need to complete the payment. This is achieved via the payment screens where you will be redirected to a secure server where you can make your payment online.
The preferred method of payment is by credit/debit card through the secure payment page. If you are not able to do this, cheques will be accepted but they must be forwarded immediately. If invoices are required before payment, a Purchase Order Number must be provided otherwise the entries will not go forward for judging. A VAT invoice will be sent to you for all confirmed entries.

The first-round judging will be completed online and therefore all supporting material for online items must also be supplied via a microsite or similar. The URL for this additional information should be entered into the Notes section of the entry form so that the judges can access it.
Items that are not viewable online will be considered in second round judging and all material, e.g. DVDs CDs, should be sent to the address below. Please note that if you are entering your item into more than one category, you should supply complete sets of material for each category.
